Overview of Job Function:

The Benefits Analyst will be responsible for the day-to-day initiatives of all annual projects including, but not limited to, audits, system implementations, state and federal benefits-related filings, integration of employees for acquisition, open enrollment and maintaining and updating employee benefit resources. This individual will liaise with our brokers and vendors as needed to address any issues or concerns and serve as a resource to employees on all benefits matters.

Principal Duties and Essential Responsibilities

  • Provide customer service support to internal customers. Ensure communication tools are updated and accurate and serve to enhance understanding of the company’s benefits package
  • Responsible for partnering with benefits administration provider to ensure system integrity and address any issues timely
  • Take a lead role on the annual Open Enrollment Process, including: oversight of all activity relating to the benefits administration system, working with vendors and brokers to update plan documents, prepare employee communications, identify and follow up on system updates & testing, host open enrollment webinars and respond to employee questions
  • Ensure timely reporting of all federal and state compliance filings (including CMS, WSIB Annual Declaration, WAPAL, etc.)
  • Monitor, track and effectively respond to escalations regarding benefit programs or claims issues
  • Conduct audits on benefit enrollments and employee deductions as needed to ensure accuracy
  • Audit, review and process all benefit invoices
  • Assist with diligence on benefit programs for acquisitions
  • Oversee and support employee benefit programs, including health insurance, retirement plans, and other benefits
  • Audit benefits data, costs, and utilization to identify areas for improvement and make recommendations for changes
  • Draft, educate and communicate benefit information to employees through various channels, such as open enrollment events, workshops, and online resources
  • Work with vendors and consultants to ensure efficient and effective benefit program delivery
  • Provide excellent customer service to employees, managers, and other stakeholders regarding benefits inquiries

Minimum Requirements:

  • Bachelor Degree in a related field or equivalent work experience
  • Minimum of five years of experience in Human Resources, with at least three years in benefits administration
  • Knowledge of relevant federal and state regulations affecting employee benefit programs, including ERISA, COBRA, FMLA, ADA, Section 125, and Department of Labor
  • Strong aptitude for learning new systems and applications
  • Demonstrated experience in vendor relationships
  • Ability to demonstrate confidentiality and judgement
  • Ability to remain flexible and effective in a demanding, fast-paced environment
  • Ability to take initiative, multitask, prioritize, meet deadlines and work well under pressure
  • Strong analytical skills with a basic understanding of benefit plan designs
  • Strong problem-solving skills with ability to apply resolutions
  • Strong communicator with excellent interpersonal skills and a proven ability to work in a collaborative, team-oriented environment
  • Strong attention to detail and excellent customer service required
  • Proficient in Microsoft Office (particularly PowerPoint, Vizio and Excel)
  • Working knowledge of Oracle preferred
  • Successful completion of a background screening process including, but not limited to, employment verifications, criminal search, OFAC, SS Verification, as well as credit and drug screening, where applicable and in accordance with federal and local regulations
