Job Summary: We are looking Looking for firm to manage 5 unit food and beverage unit company. AR, AP, Payroll, and Reporting. All online software. This role requires strong organizational skills, excellent communication abilities, and familiarity with the food and beverage industry. Key Responsibilities: • Administrative Support: • Manage schedules, appointments, and meetings for executives or team members. • Prepare and organize documents, reports, and presentations. • Maintain digital filing systems and databases for easy access and reference. • Order Coordination: • Assist with order processing, including entering orders into the system and coordinating with production and logistics teams. • Monitor order status, ensure timely delivery, and communicate updates to customers. • Customer Service and Support: • Respond to customer inquiries via email, phone, or chat, providing product information, order status updates, and assistance with returns or exchanges. • Handle customer... feedback, complaints, and issues professionally and efficiently. • Inventory Management: • Monitor inventory levels and coordinate with production and warehouse teams to ensure adequate stock for fulfilling orders. • Assist in tracking and recording inventory movements and reconciling discrepancies. • Marketing and Sales Support: • Assist with creating marketing materials, such as social media posts, email campaigns, and promotional content. • Support sales initiatives by preparing sales presentations, proposals, and maintaining CRM data. • Research and Analysis: • Conduct market research and competitor analysis to support business decisions and identify opportunities. • Provide insights and reports on industry trends, customer preferences, and sales performance. • Financial Support: • Assist with invoicing, processing payments, and reconciling financial records as needed. • Track expenses and maintain records for budgeting and accounting purposes. • Project Coordination: • Assist with special projects, such as product launches, events, or new initiatives. • Coordinate tasks, set timelines, and communicate progress with team members and stakeholders. • Compliance and Quality Assurance: • Assist in ensuring compliance with food safety regulations and quality standards. • Monitor and document compliance-related activities as required. Qualifications: • Proficiency with Quickbooks and Bills.com • Proven experience (1-2 years) as a virtual assistant, administrative assistant, or similar role, preferably in the food and beverage industry. • Familiarity with food and beverage industry operations, including order processing, inventory management, and customer service. • Strong organizational skills and ability to manage multiple tasks and priorities effectively. • Excellent communication and interpersonal skills, with the ability to interact professionally with customers, vendors, and team members. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with relevant software applications. • Analytical mindset with the ability to interpret data and provide insights for business improvements. • Adaptability and flexibility to work in a dynamic virtual environment. • Integrity, reliability, and commitment to maintaining confidentiality of sensitive information Apply Job!
