A Collections Specialist role is available for a detail-oriented professional responsible for managing outstanding balances and fostering positive relationships through clear communication and exceptional customer service. Key duties include resolving payment issues, focusing on aged accounts, collaborating with internal and external stakeholders, documenting interactions, and meeting productivity standards. Required qualifications include over three years of business-to-business collections experience, strong Excel skills, knowledge of accounting cycles, and the ability to work in a hybrid office environment in Warsaw. Preferred qualifications include experience with Oracle and other financial platforms, advanced Excel functions, analytical thinking, and strong problem-solving skills. We are seeking a dedicated and detail-oriented Collections Specialist to join our team. In this role, you will be responsible for effectively managing outstanding balances while delivering exceptional customer service to both internal stakeholders and external clients. Your ability to communicate clearly and empathetically will be key in fostering positive relationships, ensuring timely payments, and contributing to our overall financial health. Essential Duties Focus heavily on collections of assigned accounts that have balances open greater than the payment terms Identify reasons for delinquency and resolve issues preventing payment within invoice terms Reconciliation of open and closed invoice transactions/payment receipts to explain amounts due Collaborate with internal and external customers to resolve collection issues, determine root causes, and recommend process improvement changes Lead conference calls with customers, sales Client Managers, Billing, and others to determine open A/R balances and action plans to drive resolution Research and respond to internal and external calls/emails promptly Accurately document each internal/external customer engagement in the business systems according to work process guidelines Meet or exceed productivity standards in the completion of daily and monthly assignments Facilitate and negotiate account resolution Research and log adjustments requests for accounts that require reconciliation activities Partner with the Cash Applications and Billing organizations to resolve missing or unclear payment applications Required Qualifications 1+ years’ experience in business-to-business collections Intermediate to Advanced Microsoft Excel skills Knowledge of debits, credits and account reconciliation Strong critical thinking and problem-solving skills, good judgment, and follow-through Professional in verbal and written English communication Works well in a team environment and ability to adapt to process changes due to growth Strong knowledge of Order, Billing and A/R payment cycles Ability to work in a hybrid office environment. Our office is located in Warsaw.
