Position Summary

The Data Entry Clerk will be responsible for the continuous updating, maintenance, and verification of arenaflex databases, including the Electronic Medical Records (EMR) system where applicable. This role will involve regular liaison with internal employees, customers, and external partners to gather required information, resolve discrepancies, and ensure that all data captured is timely, complete, and accurate. The ideal candidate will demonstrate a sharp eye for inconsistencies, a methodical approach to repetitive tasks, and a proactive attitude toward identifying and correcting errors before they escalate.

Key Responsibilities

  • Accurate Data Entry Across Multiple Platforms: Perform high-volume data entry into arenaflex's EMR system and other proprietary databases, ensuring all records are entered with precision and in accordance with established data entry standards and protocols.
  • Information Preparation and Verification: Review source documents, applications, and supporting paperwork prior to entry; prepare and organize information for efficient and accurate data capture.
  • Audit and Error Correction: Conduct daily audits of entered data, identify discrepancies, delete errors, and enter timely corrections to maintain the integrity of all databases.
  • Customer and Employee Liaison: Proactively follow up with internal employees and external customers to collect missing or additional information, clarify ambiguous data, and confirm details for accurate record keeping.
  • Clerical and Administrative Support: Provide entry-level administrative support to the broader data entry function, including faxing, filing, photocopying, and document preparation as required.
  • Credit and Application Data Management: Perform data entry of credits, new applications, and other transactional records, ensuring each entry is matched to the correct client profile and properly categorized within the system.
  • File Management and Organization: Maintain digital and physical filing systems in accordance with arenaflex data retention policies, ensuring timely retrieval and proper storage of all records.
  • Keypunching and Data Verification: Operate data entry devices, scanners, and verification software to perform a variety of keypunching and validation duties across multiple client accounts.
  • Client-Specific Data Standards: Adhere to data entry protocols established for each individual client, ensuring customized workflows and unique data fields are respected throughout the entry process.
  • Training and Mentorship: Assist in training new data entry employees on arenaflex computer systems, standard operating procedures, and best practices for accuracy and efficiency.
  • Timeliness and Productivity: Ensure all assigned data entry tasks are completed within established deadlines and productivity benchmarks, while maintaining a consistent focus on quality over speed.
  • Issue Escalation: Swiftly identify data quality concerns or systemic errors and bring them to the immediate attention of supervisors or relevant stakeholders for resolution.

Essential Qualifications

  • Educational Background: High school diploma or equivalent required; additional coursework in business administration, office management, or information systems is a strong plus.
  • Typing Proficiency: Demonstrated ability to type accurately at a minimum of 45 words per minute with a low error rate.
  • Computer Literacy: Solid working knowledge of Microsoft Office Suite, including Excel, Word, and Outlook, as well as comfort navigating web-based applications and database platforms.
