Position Overview & Schedule Details

This is a permanent, full-time remote position based on an anticipated schedule of 35–40 hours per week, Sunday through Sunday. Flexibility is essential, as you'll be expected to adapt to any of our 8-hour shift rotations during our regular business hours of 5:00 AM – 10:00 PM (local time). Whether you're an early riser or prefer afternoon shifts, we offer a variety of scheduling options to fit your lifestyle.

New hires will complete a structured training program Monday through Friday, 8:00 AM – 5:00 PM CST, lasting approximately 4–5 weeks. This training ensures every team member feels confident and prepared to handle complex member inquiries with professionalism and empathy. Occasional overtime may be required based on business demand, particularly during peak enrollment seasons or product launches.

Major Accountabilities & Core Responsibilities

As a Customer Service Specialist at arenaflex, your day will be dynamic, challenging, and deeply rewarding. Your primary responsibilities will include, but are not limited to:

  • Responding to Incoming Member Calls: Serve as the first point of contact for members calling with questions about eligibility verification, prescription status inquiries, benefit coverage, and order tracking. Every call is an opportunity to deliver a five-star experience.
  • Educating Members on Benefits: Clearly and compassionately walk members through their prescription benefits, utilization management processes, formulary details, premium structures, claims statuses, and any other related topics.
  • Active Listening & Accurate Documentation: Ask probing, thoughtful questions and listen attentively while capturing critical information in our computer systems with precision and care.
  • Problem Solving & Solution Delivery: Identify issues proactively and communicate clear, actionable solutions to members, pharmacies, and physicians regarding prescription orders, reorders, and benefit-related concerns.
  • Outbound Member Outreach: Initiate outbound calls to members regarding prescription orders, payment issues, follow-ups, and proactive wellness communications.
  • Multi-System Navigation: Research complex issues across multiple databases while confidently toggling between systems and engaging with the caller — all without missing a beat.
  • Cross-Functional Collaboration: Partner with internal teams, including pharmacy operations, clinical support, and claims departments, to resolve escalated issues efficiently.
  • Compliance & Quality Standards: Adhere to all HIPAA regulations, arenaflex policies, and quality assurance standards to maintain the highest level of member confidentiality and data security.

This role is both demanding and deeply fulfilling. You'll be challenged to research intricate issues related to member prescription and pharmacy benefits, requiring fluency in computer navigation and the ability to switch between systems with confidence. Essential Qualifications

To be successful in this role, candidates must possess the following:

  • Educational Background: High School Diploma or GED (or higher), OR equivalent relevant work experience
  • Customer Service Experience: Minimum of 1+ year of customer service experience, including direct phone-based support
  • Technical Proficiency: Solid experience with Windows-based computer systems, including the ability to learn and navigate new and complex software platforms quickly
  • Microsoft Office Skills: Basic working knowledge of Microsoft Word (ability to open, navigate, and edit documents) and Microsoft Excel (ability to open, navigate, and interpret spreadsheets)
  • Schedule Flexibility: Ability to work any of our 8-hour shifts during operating hours of Sunday – Saturday, 5:00 AM – 11:00 PM local time, in Pacific Standard Time or Mountain Standard Time zones depending on your location
  • Reliable Remote Setup: A dedicated, private workspace within your home, separated from other living areas, that ensures member data privacy and confidentiality
  • Secure Internet Connection: Must reside in an area capable of receiving an arenaflex-approved high-speed internet connection, or already have access to a high-speed service. A direct wired connection (ethernet cable to modem or router) is required — Wi-Fi-only setups are not sufficient for this role

Preferred Qualifications & Bonus Skills

While not required, the following experiences will help you stand out as an exceptional candidate:

  • Prior call center experience in a high-volume environment
  • Experience in healthcare, insurance, or pharmacy customer service
  • Familiarity with medical terminology, health insurance plan documentation, and benefit plan design
  • Background in adult learning or virtual training environments
  • Experience working with multiple digital platforms and communication channels including web, live chat, and email
  • Work or volunteer experience in community service, behavioral health, public health, disease prevention, health promotion, or behavior change initiatives — especially with vulnerable populations
  • Bilingual or multilingual capabilities (a plus, though not required)
