Your primary responsibility will be to accurately input, maintain, and manage vast quantities of travel-related data, including bookings, reservations, client profiles, vendor agreements, and internal documentation. Key Responsibilities

  • Accurately input, update, and maintain travel-related information across multiple database systems, including booking details, client profiles, reservation confirmations, supplier records, and itinerary data.
  • Process high volumes of data with consistent speed and precision, ensuring that all entries meet arenaflex's rigorous quality and formatting standards.
  • Verify and cross-check data entries against source documents to identify and correct discrepancies, missing fields, or errors before they propagate through downstream systems.
  • Maintain organized digital and physical records, ensuring that all files, contracts, communications, and documentation are properly categorized, labeled, and stored in accordance with company protocols.

Quality Assurance and Data Integrity

  • Conduct regular audits and reviews of existing data to ensure ongoing accuracy, completeness, and consistency across all platforms.
  • Implement and uphold data quality standards, escalating any anomalies or systemic issues to the appropriate department heads.
  • Proactively identify patterns of error and recommend corrective actions to prevent recurring data issues.
  • Stay vigilant about compliance with internal policies and external regulations, particularly regarding the handling of personally identifiable information (PII) and sensitive client data.

Cross-Functional Collaboration and Communication

  • Partner closely with the reservations, customer service, sales, and operations teams to ensure the seamless flow of information throughout the organization.
  • Respond promptly to internal inquiries regarding data records, booking histories, client information, and system entries.
  • Support customer-facing colleagues by providing accurate data lookups and clarifications that help resolve client questions and concerns efficiently.
  • Participate actively in team meetings, contributing insights and suggestions for improving workflows and data management practices.

Reporting and Analytics Support

  • Generate, compile, and distribute regular reports on key performance indicators (KPIs), booking trends, revenue metrics, and operational statistics.
  • Assist management and strategic planning teams by transforming raw data into well-structured, easy-to-understand reports that inform business decisions.
  • Track and document recurring data issues, processing times, and quality metrics to support continuous improvement initiatives.

Process Improvement and Innovation

  • Identify opportunities to streamline data entry workflows, eliminate redundancies, and increase operational efficiency.
  • Collaborate with technology and operations teams to test and implement new tools, automation solutions, and best practices.
  • Document standard operating procedures (SOPs) for data entry processes and contribute to training materials for new team members.

Compliance and Confidentiality

  • Ensure full compliance with data protection regulations, including GDPR, CCPA, and other relevant privacy frameworks, as well as arenaflex's internal security policies.

Essential Qualifications and Experience

  • Educational Background: A high school diploma or equivalent is required. A Bachelor's degree in business administration, information management, hospitality, communications, or a related field is strongly preferred.
  • Professional Experience: Demonstrated experience in data entry, administrative support, records management, or a similar role. Prior experience within the travel, hospitality, or airline industry is a significant plus.
  • Technical Proficiency: Advanced skills in Microsoft Office Suite (especially Excel, Word, and Outlook) and comfort navigating database management systems, CRM platforms, and cloud-based collaboration tools.
  • Typing Speed and Accuracy: A typing speed of at least 50–60 words per minute with a high degree of accuracy is essential for success in this role.

Preferred Skills and Competencies

  • Previous exposure to travel industry software such as Sabre, Amadeus, Galileo, or similar Global Distribution Systems (GDS) is highly desirable.
