Position Overview

This full‑time, remote position (40 hours per week, Monday‑Friday, 9:45 am – 6:15 pm CST) is based in arenaflex’s Family Engagement Center. You will primarily engage members via phone, but you’ll also use email, chat, and text to deliver compassionate, solution‑focused support. The role includes an 18‑week paid training program, with the first 14 weeks scheduled 8 am – 4:30 pm CST and the final 4 weeks aligning with regular shift hours.

Key Responsibilities

  • Holistic Family Support: Own end‑to‑end resolution of complex benefit, claim, and billing issues for members with special‑needs children or family members.
  • Primary Point of Contact: Serve as the consistent, empathetic voice for members, handling inquiries through phone, email, chat, and text.
  • Relationship Building: Cultivate lasting relationships with members, teammates, and external partners to foster trust and collaboration.
  • Independent Decision‑Making: Apply sound judgment and critical thinking to solve problems creatively and efficiently.
  • Expectation Management: Set realistic expectations, follow through on commitments, and keep members informed throughout the resolution process.
  • Project & Time Management: Prioritize outreach, follow‑up, and documentation to meet established family service objectives.
  • Outreach Initiatives: Conduct proactive outreach calls to members referred by executives and partner organizations.
  • Accurate Documentation: Maintain precise family counts and case notes within arenaflex’s documentation platform.
  • Team Collaboration: Mentor peers, share best practices, and act as a resource for colleagues to strengthen the team environment.
  • Resource Identification: Anticipate member needs and connect them with internal programs or external community resources that add unexpected value.
  • Referral Management: Determine appropriate referrals to specialized programs or services, leveraging technology guidance when needed.
  • Quality Assurance: Deliver a high‑quality member experience reflected in post‑contact surveys and direct feedback.

Essential Qualifications

  • High School Diploma / GED or equivalent work experience.
  • Minimum 1 year of experience advocating for members or customers, preferably in a health‑care or service‑delivery setting.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and ability to create correspondence, manage spreadsheets, and organize email/calendar workflows.
  • Strong verbal and written communication skills, with the ability to translate complex benefit terminology into clear, compassionate language.
  • Demonstrated empathy, active listening, and the capacity to de‑escalate distressed callers.
  • Self‑starter mindset, comfortable working in ambiguous environments without rigid processes.
  • Ability to work the designated shift hours and occasional overtime as business needs dictate.
  • Must be 18 years of age or older.

Preferred Qualifications & Experience

  • 1 + year of experience with A4Me or at least 3 months of Quick Assist platforms.
  • Background in claims processing or prior authorization workflows.
  • Personal or professional experience caring for children with special needs.
  • Experience in a member‑focused health‑care environment, such as health plans, hospitals, or community health organizations.
  • Service‑delivery experience in social services, caregiving, hospitality, social work, sales, or non‑profit agencies.
