Job Overview We’re looking for a highly organized and proactive Executive Assistant to provide comprehensive administrative, financial, and project support. This role combines calendar and inbox management, basic financial operations, and project coordination, making it ideal for a tech-savvy multitasker with strong English communication skills, experience with AI documentation tools, and the ability to operate independently in a full-time, EST-aligned remote environment. Core Tasks: Monitor multiple inboxes to triage and respond to client questions and concerns Perform ad hoc payment, invoice management, file management, etc Manage a calendar including scheduling, meetings, and travel arrangements Serve as a contact between employees, clients, and external partners Prepare/ edit correspondence, communications, presentations, reports, and other docs Coordinate meetings, set agendas, take minutes, and prepare follow ups / action items Perform other ad-hoc tasks with limited instruction as needed Assist with project management tasks (track deadlines/ coordinate to ensure success) Assist with business administrative and personal tasks as needed Create SOPs and other documentation as needed Must-Haves: 3+ years experience in an EA, administrative, or accounting-based role Strong (C-level) verbal and written English communication skills 1 - 2+ years experience with Project Management tools like Clickup or Monday Experience using notetakers and AI tools to create documentation Strong organizational and planning skills Excellent time management skills and ability to multitask and prioritize Background with Notion and Monday.com for project management (or similar tools) Ability to work full-time EST Nice-to-Haves: Event planning experience (organizing corporate events, conferences, workshops, etc) Apply To This Job
