Job Summary As an Experienced Data Entry Administrative Assistant, you will play a vital role in supporting the executive team by providing administrative assistance, data entry, and customer service. Your primary responsibilities will include: Essential Duties and Responsibilities

  • Welcoming guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Maintaining executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Attending meetings in the executive's absence and delivering and receiving messages on executive's behalf
  • Conserving executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
  • Producing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
  • Providing historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions
  • Maintaining customer confidence and protecting operations by keeping information confidential
  • Preparing reports by collecting and analyzing information
  • Completing projects by assigning work to clerical staff; following up on results
  • Securing information by completing data base backups
  • Maintaining and verifying office supplies inventory
  • Ensuring operation of equipment by completing preventive maintenance requirements; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Maintaining professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
  • Contributes to team effort by accomplishing related results as needed
  • Performs other duties as assigned Qualifications
  • Office experience, data entry experience, and moderate computer literacy required
  • Willing to train and learn new skills
  • Excellent communication and interpersonal skills
  • Ability to maintain confidentiality and handle sensitive information
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Ability to work in a fast-paced environment and prioritize tasks effectively Preferred Qualifications
  • Previous experience in an administrative or data entry role
  • Familiarity with healthcare industry or related field
  • Certification in data entry or administrative assistance
  • Experience with electronic medical records (EMRs) or other healthcare software Skills and Competencies

  • Ability to work independently and as part of a team
