In today’s hyper‑connected world, the security of government networks is more important than ever. arenaflex’s Security Modernization Team is leading the charge on a Zero Trust Architecture Implementation (ZTAI) initiative that redefines how access, authentication, and data protection are managed across a sprawling enterprise. As a Data Entry & Administrative Assistant, you will be the backbone of this effort—ensuring that critical documentation, project artifacts, and stakeholder communications are accurate, timely, and impeccably presented. Your work will directly support senior project managers, subject‑matter experts, and senior leadership as they drive strategic security outcomes for a high‑visibility federal program.

Key Responsibilities

  • Presentation Development: Collaborate with the ZTAI Integrated Project Team (IPT) to design, update, and polish monthly PowerPoint decks that summarize progress, risks, and next steps for senior leadership.
  • Meeting Coordination & Minute Taking: Schedule IPT meetings, prepare agendas, and capture detailed minutes that accurately reflect decisions, action items, and follow‑up responsibilities.
  • Document Management: Create and maintain project folders in strict accordance with arenaflex and federal guidelines, ensuring version control and accessibility for all team members.
  • Process & SOP Updates: Review, edit, and format Standard Operating Procedures (SOPs), best‑practice guides, and other reference materials submitted by multiple subject‑matter experts.
  • Data Entry & Quality Assurance: Input data from various sources into SharePoint, MS Teams channels, and other collaboration tools, performing rigorous checks for accuracy and consistency.
  • Proofreading & Formatting: Apply expert knowledge of grammar, style, and layout to produce polished, error‑free documents that meet arenaflex’s branding standards.
  • Version Control Management: Track multiple draft versions, issue new releases, and archive superseded documents in a systematic, auditable manner.
  • General Administrative Support: Provide ad‑hoc assistance to project managers, including travel arrangements, expense reporting, and preparation of briefing materials.
  • Collaboration Platform Maintenance: Keep the arenaflex MS Teams channel and SharePoint site organized, up‑to‑date, and user‑friendly for all stakeholders.

Essential Qualifications

  • High school diploma or GED equivalent; 3–5 years of relevant administrative or data‑entry experience.
  • Associate’s or Bachelor’s degree in English, Business, Accounting, or a related discipline is strongly preferred.
  • Demonstrated proficiency with Microsoft Office Suite—especially Word and PowerPoint—and a solid grasp of advanced formatting, styles, and template usage.
  • Exceptional proofreading skills with a keen eye for grammar, punctuation, and document consistency.
  • Ability to thrive in a fast‑paced, high‑volume environment while maintaining composure, positivity, and proactive problem‑solving.
  • Strong analytical mindset that enables you to sift through complex technical documentation and extract key information efficiently.
  • Excellent written and verbal communication skills, enabling clear interaction with senior officials, technical experts, and cross‑functional teams.
  • Eligibility to obtain and maintain a federal background investigation clearance as required for arenaflex’s security program.

Preferred Qualifications & Additional Skills

  • Prior experience supporting a federal agency or working on a government‑focused security program.
  • Familiarity with Power BI, Jira, or similar project‑tracking and data‑visualization tools.
  • Experience managing SharePoint libraries, MS Teams channels, or other collaboration platforms.
  • Knowledge of Zero Trust principles, cybersecurity terminology, or related IT security frameworks.
  • Ability to draft concise executive summaries and translate technical jargon into plain‑language briefings.
