Position Overview – Remote Property Coordinator & Data Entry Specialist

We are seeking a meticulous, detail‑oriented Property Coordinator and Data Entry Clerk to join our Facilities and Testing Department on a temporary, 12‑week assignment. This remote role is essential to maintaining the integrity of our property management system, ensuring accurate inventory records, and supporting the seamless flow of information that underpins our mission‑critical operations.

Key Responsibilities

  • Document Preparation & Management: Gather, compile, and sort source documents for data entry, ensuring all paperwork is complete and organized before processing.
  • Data Verification & Accuracy: Review source documents for accuracy, cross‑check entries against original records, and correct any discrepancies to maintain a flawless data set.
  • Electronic Transcription: Accurately transcribe information into the designated electronic format, adhering to established naming conventions and data standards.
  • Quality Assurance: Perform final checks on completed work to verify that all entries are correct, consistent, and ready for downstream use.
  • Information Requests: Respond promptly to internal requests for data, providing access to relevant files and supporting documentation as needed.
  • Database Maintenance: Enter data from source documents into the prescribed computer database, files, and forms, ensuring proper categorization and indexing.
  • Cross‑Functional Collaboration: Work closely with warehouse staff, procurement teams, and compliance officers to align property records with physical inventories and regulatory requirements.
  • Safety & Compliance Reporting: Identify and report safety hazards or compliance gaps discovered during data handling or document review.
  • Ad‑hoc Projects: Participate in additional duties and special projects that support the Facilities and Testing Department’s broader objectives.

Essential Qualifications

  • Two (2) years of coursework in a relevant field (e.g., business administration, logistics, or technical trade) or an equivalent combination of education and experience.
  • Three (3) years of hands‑on experience in data entry, property coordination, inventory control, or a closely related role.
  • Demonstrated proficiency with Microsoft Excel, including formulas, pivot tables, and data validation techniques.
  • Basic mathematical competence sufficient to perform calculations, measurements, and unit conversions accurately.
  • Strong understanding of office procedures, record‑keeping best practices, and the ability to follow detailed written and oral instructions.
  • Ability to work effectively in both a remote office environment and occasional on‑site warehouse settings.
  • Excellent written and verbal communication skills, with a focus on clarity and professionalism.
  • High level of integrity and confidentiality when handling sensitive property and financial information.

Preferred Qualifications & Additional Skills

  • Four (4) years of related experience combined with two (2) years of college coursework for a total of six (6) years of relevant expertise.
  • Familiarity with MAXIMO or similar enterprise asset management (EAM) systems.
  • Experience with the full Microsoft Office suite (Word, PowerPoint, Outlook) and the ability to create professional documents and presentations.
  • Understanding of government property processes, recordkeeping standards, and compliance requirements.
  • Prior experience in receiving, inspection, and inventory reconciliation within a high‑security or regulated environment.
  • Ability to interpret technical drawings, blueprints, and schematics to verify property dimensions and specifications.
  • Proactive problem‑solving mindset with the capacity to identify process improvements and suggest automation opportunities.
