Key Responsibilities – Your Day‑to‑Day Impact

Communication Management

  • Act as the primary liaison for all billing‑related escalations, handling inbound calls, emails, and messages from patients, insurance representatives, and internal teams with professionalism and empathy.
  • Accurately capture and relay critical information to the appropriate department, utilizing multiple software platforms to ensure seamless information flow.
  • Review each request for urgency, prioritize escalations, and coordinate timely responses to meet service level agreements.
  • Maintain meticulous records of all interactions, ensuring patient confidentiality and compliance with HIPAA regulations at every step.
  • Process a minimum of 70 billing accounts per day, balancing speed with precision to deliver high‑quality service.

Team Collaboration & Support

  • Participate actively in scheduled team meetings via video or teleconference, sharing insights, challenges, and best practices to continuously improve departmental performance.
  • Demonstrate competency in job‑related skills, adapting communication style to suit diverse patient populations and internal stakeholders.
  • Operate and maintain office equipment and specialized billing tools, ensuring a functional, safe, and efficient work environment.
  • Adhere strictly to arenaflex policies, procedures, and guidelines governing departmental operations, data security, and customer service standards.

Additional Duties

  • Assist with the coordination of incoming and outgoing billing requests, ensuring proper sorting, tracking, and follow‑up.
  • Support continuous improvement initiatives by providing feedback on workflow bottlenecks and suggesting process enhancements.
  • Stay current with industry regulations, insurance policies, and internal billing protocols to provide accurate information.

Essential Qualifications – What You Bring to the Table

Required Experience & Skills

  • High school diploma or equivalent; associate’s degree in business, health administration, or related field preferred.
  • Minimum of 1–2 years of experience in a customer service or billing environment, preferably within healthcare or insurance sectors.
  • Demonstrated ability to manage high call volumes while maintaining accuracy and a positive attitude.
  • Strong verbal and written communication skills, with the ability to convey complex billing information in clear, understandable terms.
  • Proficiency with multiple software applications, including electronic health record (EHR) systems, billing platforms, and Microsoft Office Suite.
  • Solid understanding of HIPAA regulations and a commitment to safeguarding patient confidentiality.
  • Exceptional organizational skills, with a keen eye for detail and the ability to prioritize tasks effectively.

  • Multilingual abilities, especially in Spanish, to serve a diverse patient base.
