Key Responsibilities

In partnership with the General Manager, Supervisors, and the broader operations team, you will be responsible for the following core duties:

  • Shipping & Receiving Management: Oversee inbound and outbound logistics within arenaflex’s ERP system, ensuring accurate documentation, timely dispatch, and proper receipt of goods.
  • Billing & Invoicing Execution: Generate, review, and distribute invoices with meticulous attention to detail, meeting tight turnaround times and adhering to contractual terms.
  • Issue Resolution: Proactively identify and resolve discrepancies related to billing, shipping, or receiving, acting as the primary point of contact for both customers and internal stakeholders.
  • Customer Communication: Maintain daily, effective communication via email, phone, or in‑person interactions, providing updates, answering inquiries, and fostering strong relationships.
  • Liaison Functions: Serve as the bridge between the warehouse and customers for account administration, and between the office and customers for invoicing, credit adjustments, and special requests.
  • Compliance & Safety: Follow arenaflex’s corporate and site‑specific Good Manufacturing Practices (GMP) and safety protocols, assisting in enforcement and continuous improvement initiatives.
  • Continuous Improvement: Identify opportunities to streamline processes, reduce errors, and enhance the overall customer journey, contributing ideas to the team’s Kaizen activities.
  • Other Duties: Perform additional tasks as assigned by management, ensuring flexibility and adaptability in a fast‑paced environment.

Essential Qualifications

To thrive in this role, candidates should possess the following foundational qualifications:

  • High school diploma or GED; associate or bachelor’s degree in Business, Supply Chain, or a related field is preferred.
  • Minimum of 2 years of experience in customer service, order processing, or logistics coordination.
  • Demonstrated ability to manage multiple priorities while maintaining accuracy and meeting strict deadlines.
  • Proficiency with ERP or order‑management systems (e.g., SAP, Oracle, NetSuite) and Microsoft Office Suite, especially Excel.
  • Strong written and verbal communication skills, with an emphasis on professionalism and clarity.
  • Excellent interpersonal skills, capable of building rapport with customers, vendors, and internal teams.
  • Basic understanding of invoicing, billing cycles, and shipping documentation (e.g., Bill of Lading, packing lists).
  • Commitment to adhering to safety standards and GMP guidelines.

Preferred Qualifications & Additional Assets

  • Experience in a manufacturing or distribution environment, particularly within a GMP‑regulated setting.
  • Certification in Customer Service Excellence (e.g., HDI, CCSP) or Supply Chain Management.
  • Familiarity with freight forwarding, customs documentation, or international shipping processes.
  • Demonstrated track record of implementing process improvements that resulted in measurable cost savings or efficiency gains.
  • Ability to read and interpret basic technical drawings or product specifications.
  • Multilingual capabilities, especially Spanish, to support a diverse customer base.
