To maintain our competitive edge, we need a meticulous Salesforce expert who can revitalize our CRM, streamline contract workflows, and ensure that every account is enriched with complete, reliable contact information. This project will directly impact the efficiency of our sales outreach, the timeliness of contract renewals, and the overall health of our customer relationships.

Role Overview

We are seeking a U.S.-based Salesforce professional to execute a three‑phase project focused on data entry, automation, and reporting. The ideal candidate will possess a proven track record of Salesforce data hygiene, be comfortable building simple automations using Flow or Process Builder, and demonstrate an unwavering attention to detail. This is a fixed‑price, short‑term engagement (approximately 75 hours) with a clear deliverable timeline of 2–3 weeks.

Key Responsibilities

Phase 1 – Company & Contract Data Entry (≈ 900 Records)

  • Import and/or manually update 900 customer accounts from a provided Excel spreadsheet into Salesforce.
  • Ensure each record contains the following fields:
    • Company Name
    • Contact Information (when available)
    • Contract Values (including multiple contracts per company, if applicable)
    • Contract Expiration Date
    • Account Number(s)
    • Carrier/Provider Name
    • Sales Agency (TSD) associated with the account
  • Perform rigorous data cleansing: de‑duplicate records, standardize formatting, and validate field values against business rules.
  • Identify and flag discrepancies (e.g., missing contract dates, mismatched account numbers) for resolution or escalation.
  • Document any data quality issues and provide recommendations for ongoing maintenance.

Phase 2 – Contract Expiration Notification Automation

  • Design and implement a simple, repeatable automation that monitors contract expiration dates.
  • Configure a weekly email digest that surfaces contracts expiring in the next 30, 60, and 90 days.
  • Include dynamic content in each email, such as:
    • Company name
    • Days until expiration
    • Primary contact first name, phone number, and email
    • Suggested next steps for the account team
  • Provide a clear method for the sales team to adjust filter criteria or pause notifications as needed.
  • Test the automation thoroughly to ensure accuracy and reliability before handoff.

Phase 3 – Contact List Export for Missing POC Information

  • Generate a comprehensive CSV/Excel report that lists all Salesforce accounts lacking point‑of‑contact (POC) details.
  • For each account, include:
    • Company Name
    • Account ID
    • Sales Agency (TSD)
    • First Name (blank if missing)
    • Last Name (blank if missing)
    • Phone Number (blank if missing)
    • Email Address (blank if missing)
  • Ensure the export is formatted for easy manual completion by our internal team.
  • Deliver the final file securely, adhering to confidentiality protocols.

Essential Qualifications

  • Minimum 3 years of hands‑on experience with Salesforce data entry, cleanup, and reporting.
  • Demonstrated ability to build basic automations using Salesforce Flow, Process Builder, or similar tools.
  • Strong analytical mindset with a meticulous eye for detail and data integrity.
  • U.S. citizenship or permanent residency; must be based in the United States.
  • Excellent written and verbal communication skills, enabling clear documentation and stakeholder updates.
  • Familiarity with telecom or B2B contract structures is a distinct advantage.

Preferred Qualifications

  • Salesforce Administrator certification (ADM 201) or higher.
  • Experience working in regulated environments where data confidentiality is paramount.
  • Proficiency with Excel functions, data validation, and bulk import tools (Data Loader, Data Import Wizard).
  • Prior experience delivering similar data‑migration or automation projects on a fixed‑price basis.
