Key Responsibilities

Travel Coordination & Booking Management

  • Assist travel advisors in researching, reserving, and confirming flights, hotels, ground transportation, and activity packages.
  • Validate travel details against client preferences, budget constraints, and policy guidelines.
  • Monitor booking confirmations, manage changes, and proactively resolve any discrepancies.
  • Maintain an up‑to‑date repository of vendor contracts, rate agreements, and preferred supplier contacts.

Administrative Support & Record Keeping

  • Handle inbound inquiries via email, phone, and chat, providing timely, accurate information to prospective and existing travelers.
  • Draft, format, and distribute travel documents, itineraries, and post‑trip reports using the Microsoft Office Suite.
  • Enter client data, expense details, and booking information into the CRM system with a focus on data integrity.
  • Organize digital files, maintain shared folders, and ensure compliance with data‑privacy regulations.

Calendar & Schedule Management

  • Coordinate calendars for multiple travel advisors, scheduling client consultations, vendor meetings, and internal briefings.
  • Set reminders for critical deadlines such as payment due dates, visa application windows, and travel insurance renewals.
  • Facilitate cross‑time‑zone meeting logistics, ensuring smooth communication among global partners.

Client Communication & Relationship Building

  • Serve as the primary point of contact for clients throughout the planning, execution, and post‑trip phases.
  • Deliver personalized service, anticipate client needs, and provide proactive updates on itinerary changes.
  • Gather feedback after each travel experience to identify improvement opportunities and reinforce client loyalty.

Vendor Liaison & Issue Resolution

  • Communicate with hotels, airlines, tour operators, and other service providers to confirm reservations and negotiate special requests.
  • Address and resolve any service disruptions, cancellations, or billing issues swiftly and professionally.
  • Maintain strong, collaborative relationships with vendors to secure preferential rates and exclusive amenities for arenaflex clients.

Office & Event Support (Remote)

  • Assist with ordering office supplies, managing inventory, and coordinating virtual team events.

Essential Qualifications

  • Minimum 2 years of experience in an administrative, office support, or customer service role, preferably within travel, hospitality, or a related service industry.
