Key Responsibilities

  • Mail Management: Open, sort, and prioritize incoming mail, including invoices, statements, checks, and purchase orders, ensuring timely distribution to the appropriate accounting personnel.
  • Data Entry & System Updates: Accurately input data from invoices, change orders, and credit/debit memos into arenaflex’s proprietary accounting software and AS400 platform.
  • Vendor Statement Review: Examine vendor statements, reconcile discrepancies, and process credit or debit memos as needed to maintain clean vendor accounts.
  • Batch Processing: Create, code, and post invoice batches using ASI numbers, ensuring each entry is correctly categorized for downstream processing.
  • Pricing Breakdown: Decompose order pricing structures, verify calculations, and flag any inconsistencies for further review.
  • Vendor Communication: Respond to inquiries from factories and vendors regarding account status, past‑due balances, and payment histories, maintaining professional and courteous correspondence.
  • Record Keeping: Maintain organized logs of all vendor communications, scanned documents, and transaction histories for audit readiness.
  • Scanning & Archiving: Digitally scan all invoices, credit memos, and related documents, ensuring they are stored securely and are easily retrievable.
  • Collaboration: Work closely with the accounting team, procurement specialists, and senior management to resolve data discrepancies and support month‑end closing activities.

Essential Qualifications

  • Strong organizational skills with the ability to manage multiple tasks simultaneously while maintaining a high level of accuracy.
  • Excellent interpersonal communication skills, enabling professional interaction with management, co‑workers, vendors, and external partners.
  • Proficiency with Windows‑based personal computers and standard office software (Microsoft Office Suite, especially Excel).
  • Experience with AS400 or similar legacy ERP systems is preferred, though comprehensive training will be provided for the right candidate.
  • Comfortable using a copier, fax machine, and a ten‑key numeric keypad for rapid data entry.
  • Demonstrated ability to follow written and oral instructions precisely, with a keen eye for detail.
  • Strong analytical and problem‑solving abilities, capable of identifying and correcting data entry errors.
  • Basic arithmetic proficiency (addition, subtraction, multiplication, division) and the ability to interpret product manuals, reports, and procedural documents.
  • Professional written and verbal communication, with proper grammar and a courteous tone.
