Key Responsibilities
Database Management & Data Integrity
- Under the guidance of the Philanthropy Director, perform daily maintenance and enhancement of all donor, prospect, and constituent records using the arenaflex donor management platform.
- Process, acknowledge, and accurately record all donations, grants, and pledges received by arenaxflex in a timely manner.
- Monitor data integrity, security, and compliance; conduct regular imports, exports, segmentation, and coding updates.
- Create and configure funds, campaigns, and appeals that align with arenaxflex’s financial coding structure.
- Generate detailed gift, action, prospect, and mailing‑list reports for internal stakeholders and external partners.
- Develop online event registration and donation pages using the arenaflex event platform; ensure seamless integration of offline donations into the central database.
- Coordinate linking of campaigns, funds, and appeals between arenaxflex’s financial systems and the donor database to guarantee accurate financial reporting.
- Conduct periodic audits of constituent biographical information, performing data cleanup to maintain a pristine database.
- Oversee processing of department pledges and invoices, ensuring compliance with internal policies.
- Manage matching‑gift initiatives, completing paperwork, initiating requests, and following up to secure additional contributions.
Fundraising Support & Event Coordination
- Assist in planning, logistics, and execution of fundraising events, helping the Development team meet or exceed annual revenue targets.
- Administer digital registration and ticketing systems, providing a smooth experience for donors, sponsors, and guests.
- Ensure timely recognition and promotional benefits for sponsors and donors, reinforcing strong relationships.
- Proactively conduct outreach to corporate, foundation, and individual prospects, cultivating new funding opportunities.
- Prepare and deliver donor stewardship materials—including direct‑mail pieces, email campaigns, and social media content—for campaigns, special events, and ongoing development initiatives.
- Design and publish web pages that solicit funds for mail appeals, event registrations, and online giving initiatives.
- Enter gifts, generate acknowledgment letters, and produce reports promptly to maintain donor confidence.
- Maintain meticulous records in the arenaflex donor database, safeguarding confidentiality and adhering to policy standards.
- Represent arenaxflex at community events, acting as an ambassador for the organization’s mission and values.
- Research prospective donors—individuals, corporations, and foundations—to identify high‑potential funding sources.
Essential Qualifications
- Education: Bachelor’s degree in business, finance, nonprofit management, fundraising, data analytics, or a related field; or equivalent professional experience.
- Experience: 1–3 years of hands‑on experience in fundraising, donor relations, or project coordination within a nonprofit or mission‑driven environment.
- Technical Proficiency: Demonstrated expertise with the arenaflex donor management platform (formerly Raiser’s Edge) at an advanced level, including data imports, segmentation, and report generation.
- Online Giving Platforms: Experience using arenaflex’s online giving solution (formerly GiveSmart) and familiarity with email marketing tools such as arenaflex (formerly Constant Contact) or arenaflex (formerly Mail Chimp).
- Analytical Skills: Ability to interpret internal business processes and translate them into functional database configurations and best‑practice data management.
- Communication: Strong written and verbal communication skills, with the ability to craft compelling donor communications and collaborate across departments.
- Relationship Building: Proven ability to develop and nurture positive relationships with donors, corporate partners, and community stakeholders.
