The Data Entry Manager sits at the heart of arenaflex’s Risk Evaluation and Mitigation Strategy (REMS) call‑center operations. By leading a skilled team of Data Entry Specialists, you will guarantee that sensitive program data is captured accurately, entered promptly, and maintained in strict compliance with FDA, HIPAA, and internal standards. Your stewardship directly supports patient safety, regulatory adherence, and the seamless delivery of specialty pharmaceutical products.

Key Responsibilities

Leadership & Team Management

  • Coach, mentor, and motivate a remote team of Data Entry Specialists, fostering confidence, product knowledge, and unwavering quality.
  • Conduct weekly 1:1 coaching sessions to identify skill gaps, celebrate achievements, and create actionable development plans.
  • Collaborate closely with program leaders, stakeholders, and cross‑functional partners to align team objectives with broader arenaflex goals.
  • Deliver regular performance evaluations, constructive feedback, and career‑growth opportunities that drive retention and engagement.
  • Design and maintain staffing schedules that meet operational needs, service‑level agreements (SLAs), and peak‑period demands.
  • Facilitate transparent communication channels, sharing insights, trends, risks, and innovative ideas with leadership.

Operational Oversight

  • Monitor daily workflow and productivity metrics, ensuring data entry is accurate, timely, and compliant with REMS database requirements.
  • Establish robust quality‑assurance protocols; conduct periodic audits to verify adherence to SOPs, regulatory standards, and internal compliance policies.
  • Serve as the escalation point for complex data discrepancies, technical challenges, or procedural questions, providing swift resolutions.
  • Achieve and exceed internal and client Key Performance Indicators (KPIs) through disciplined process execution.
  • Oversee day‑to‑day task allocation, dashboard monitoring, and report generation to guarantee completion of all work items.

Process Improvement & Innovation

  • Partner with cross‑functional teams to uncover opportunities for enhanced data accuracy, operational efficiency, and automation.
  • Stay current on REMS program updates, network initiatives, and evolving compliance requirements; disseminate knowledge and train the team accordingly.
  • Develop, refine, and maintain SOPs, training materials, and job aids that streamline data entry processes.

Compliance & Data Security

  • Ensure all data entry activities comply with MLS, client, HIPAA, and FDA REMS regulations.
  • Champion best practices for handling and protecting Personal Health Information (PHI), reinforcing a culture of security.

Technology Enablement

  • Drive proficiency across all relevant platforms, including telephony systems, Customer Relationship Management (CRM) tools, and the Microsoft Office Suite.
  • Coach team members on multitasking, efficient navigation of multiple screens, and keyboarding speed (minimum 40 WPM).
  • Participate in system testing, requirement gathering, and rollout of new technology solutions.

Reporting & Analytics

  • Generate and analyze productivity, quality, and compliance reports to surface trends and inform strategic decisions.
  • Present concise, data‑driven updates to senior leadership, highlighting performance, risks, and resource needs.

Essential Qualifications

  • Education: High school diploma or equivalent required; an Associate’s or Bachelor’s degree is preferred.
  • Experience: 3–5 years of data entry or administrative experience, ideally within healthcare, pharmaceutical, or REMS environments.
  • Leadership: 1–2 years of supervisory or team‑lead experience, demonstrating the ability to inspire and develop high‑performing remote teams.
  • Technical Skills: Proficiency with multiple simultaneous systems (CRM, telephony, databases, Microsoft Office) and a typing speed of at least 40 words per minute.
  • Compliance Knowledge: Familiarity with REMS programs, medical terminology, and regulated data‑handling standards.
