Position Overview – Why This Role Matters

The Remote Benefits Customer Service Representative is the frontline ambassador for arenaflex’s benefits expertise. In this role, you will engage directly with employees from a broad spectrum of client companies—including those we refer to as arenaflex, arenaflex, arenaflex, and arenaflex—to help them navigate their benefit plans, schedule personalized consultations, and follow up on any outstanding questions. Your ability to translate complex benefit language into clear, actionable information will empower employees to make informed decisions about health, retirement, and other essential services.

Because benefits are a critical component of an employee’s total compensation, your work directly contributes to higher satisfaction scores, better health outcomes, and stronger loyalty to our client organizations. This is a unique opportunity to blend customer service excellence with a deep understanding of benefits administration, all while working remotely and enjoying a flexible schedule.

Key Responsibilities – What You’ll Do Every Day

  • Member Outreach & Appointment Scheduling: Initiate contact with employees who have requested information, confirm appointment times, and manage a dynamic calendar to ensure timely, one‑on‑one benefit sessions.
  • Benefit Education & Guidance: Explain health, dental, vision, life insurance, retirement, and other benefit options in plain language, tailoring explanations to each member’s unique circumstances.
  • Follow‑Up & Documentation: After each session, send concise summaries, answer follow‑up questions, and update internal CRM systems to reflect the member’s status and next steps.
  • Collaboration with Internal Teams: Work closely with benefits analysts, enrollment specialists, and client account managers to resolve complex queries and ensure consistent messaging across all touchpoints.
  • Continuous Improvement: Provide feedback on common member concerns, suggest enhancements to scripts and training materials, and participate in regular quality‑assurance reviews.
  • Compliance & Confidentiality: Adhere to all privacy regulations (HIPAA, GDPR where applicable) and maintain strict confidentiality of member data.
  • Professional Development: Engage in ongoing training sessions, webinars, and certification programs to stay current on evolving benefit regulations and industry best practices.

Essential Qualifications – What We Require

  • Demonstrated experience in customer service, call‑center environments, or sales support (minimum 2 years preferred).
  • Exceptional verbal and written communication skills, with the ability to convey complex information clearly and empathetically.
  • Proven track record of being a collaborative team player while also thriving in independent, remote work settings.
  • Strong organizational abilities, including meticulous attention to detail when handling appointment logistics and documentation.
  • Comfortable using modern CRM platforms, scheduling tools, and video‑conference software (Zoom, Microsoft Teams, etc.).
  • Self‑motivated mindset with a growth‑oriented attitude, eager to take on new responsibilities and pursue professional development opportunities.
  • Basic understanding of employee benefits terminology (health insurance, FSA, HSA, 401(k), etc.) is a plus, though comprehensive training will be provided.

Preferred Qualifications – What Sets You Apart

  • Previous experience in benefits administration, HR support, or insurance sales.
  • Certification in customer service excellence (e.g., Certified Customer Service Professional) or related fields.
  • Familiarity with unionized workforces and the unique considerations that accompany collective bargaining agreements.
  • Experience working in a fully remote environment for at least one year, demonstrating disciplined time management and virtual collaboration skills.
  • Multilingual abilities, especially in Spanish or other widely spoken languages, to serve a diverse member base.

Core Skills & Competencies – Tools for Success

  • Active Listening: Ability to hear not just what members say, but also what they need, allowing you to tailor benefit explanations effectively.
  • Problem Solving: Quickly identify root causes of member confusion and provide clear, actionable solutions.
  • Empathy & Patience: Recognize that benefit topics can be stressful; maintain a calm, supportive demeanor throughout each interaction.
  • Technology Proficiency: Comfortable navigating multiple software platforms simultaneously, including CRM, scheduling, and video conferencing tools.
  • Time Management: Prioritize tasks, manage a high volume of appointments, and meet service level agreements (SLAs) consistently.
  • Adaptability: Thrive in a fast‑changing environment where benefit regulations and client needs evolve regularly.
