Event Coordinator Assistant
Our client, a dynamic player in the hospitality and tourism sector, is seeking a highly organized and proactive Event Coordinator Assistant to support their growing operations. This is a fully remote position, offering a flexible work environment for individuals passionate about creating memorable experiences. You will play a crucial role in the planning, execution, and management of various events, contributing to the success of our client's diverse portfolio. As an Event Coordinator Assistant, you will assist in coordinating all aspects of event planning, from initial concept development to on-site execution and post-event analysis. This includes managing vendor relationships, handling client communications, developing event timelines, and overseeing logistical details. The ideal candidate is a meticulous planner, an excellent communicator, and thrives in a fast-paced, deadline-driven environment. You must be adept at multitasking and problem-solving, ensuring seamless event delivery. Responsibilities: Assist in the planning and coordination of various events, including conferences, weddings, corporate functions, and local festivals. Communicate with clients to understand their event needs, objectives, and preferences. Source and liaise with vendors, negotiating contracts and ensuring timely delivery of services (e.g., catering, AV, decorators). Develop and manage detailed event timelines and schedules. Create event layouts, floor plans, and seating arrangements. Assist with budget management and tracking expenses. Coordinate event logistics, including venue setup, staffing, and transportation. Handle guest inquiries and provide support throughout the event planning process. Assist with on-site event management as required (may involve occasional travel, but the role is primarily remote). Conduct post-event evaluations and gather feedback for future improvements. Maintain accurate records of event details, client communications, and vendor information. Stay current with industry trends and best practices in event management. Support the Event Coordinator in any other relevant tasks and duties. Qualifications: High school diploma or equivalent; a degree or certification in Hospitality Management, Event Planning, Marketing, or a related field is a plus. Proven experience in event coordination or a similar role is highly desirable. Excellent organizational and time-management skills, with the ability to manage multiple projects simultaneously. Strong communication, interpersonal, and negotiation skills. Proficiency in using event management software and standard office applications (e.g., Microsoft Office Suite, Google Workspace). Ability to work independently and effectively in a remote setting. Problem-solving aptitude and the ability to remain calm under pressure. A creative mindset with a keen eye for detail. Passion for the hospitality and tourism industry. Must be legally authorized to work in the US.
