The 120-acre Encino Conservancy Ranch is located on the ancestral lands of the Iipai/Northern Kumeyaay People. While we are not an indigenous-led organization, our work is guided by respect for the long history of stewardship that shaped its landscape. Founded in 2022, we are building the organizational foundation needed to support long‑term impact. Position Summary The Part‑Time Nonprofit Administrator/Development Associate provides essential operational, development, and administrative support to help Encino Conservancy grow sustainably. This role reports to the Founder/Executive Director and works periodically with the Board Chair to support governance, fundraising, and compliance. The position is fully remote (Encino Conservancy operates in San Diego County and does not maintain a central office), with a flexible schedule of up to 15 hours per week. This role combines hands-on administrative coordination with support for fundraising, grant development, and organizational growth. Ideal for an experienced nonprofit professional who is seeking meaningful, part‑time work in a mission‑driven organization. This role is structured as a 1099 independent contractor (non-employee) position; contractors are responsible for their own taxes and withholdings.

Key Responsibilities

Operations & Compliance

  • Manages core administrative systems, records, and workflows
  • Tracks nonprofit compliance requirements (e.g., filings, registrations, deadlines)
  • Coordinates with bookkeeper/accountant on basic financial tracking and reporting

Grants & Fundraising Support

  • Helps research, write, edit, and submit grant proposals and sponsorship/solicitation requests, acknowledgments, and reports
  • Tracks grant deadlines, reporting requirements, and deliverables
  • Supports donor stewardship and fundraising campaigns
  • Conducts research to identify individuals, corporate sponsors, and foundations for the board and for support
  • Assists in planning and coordinating events and meetings with donors and prospects

Marketing & Communications

  • Assists with newsletters, website updates, and social media content
  • Helps ensure consistent messaging and communications calendars

Board & Organizational Support

  • Assists with planning/coordinating board activities including preparing board agendas and meeting materials
  • Supports board onboarding/orientation, documentation, and follow‑up
  • Assists on projects to ensure that goals are met within agreed upon timeframes

Scope & Boundaries

  • This role owns administrative and development coordination and execution within its time scope

Strategic decisions, fundraising leadership, and program direction remain with the Executive Director and Board

  • Work is prioritized collaboratively to fit within part‑time hours; duties may be adjusted as needed

Qualifications

  • Bachelor’s Degree preferred
  • 5+ years experience in nonprofit administration, operations, or development
  • Demonstrated grant writing and reporting experience
  • Strong organizational, writing, and communication skills
  • Comfortable working independently in a remote environment

Preferred

  • Familiarity with donor databases, email marketing tools, and cloud‑based systems
  • Interest or background in conservation, land stewardship, or environmental work
  • Familiarity with or connections to San Diego-area philanthropic, environmental, or conservation communities

Time & Compensation

  • Part‑Time: up to 15 hours per week
  • Location: Fully remote (U.S. based preferred; no central office)
  • Compensation: Hourly $25-35/hr, commensurate with experience
  • Type: 1099 Independent Contractor (non-employee; no benefits provided)
