As we continue to grow and expand our operations, we're seeking a highly skilled and organized Virtual Assistant, Bookkeeper, and Data Entry Coordinator to join our team.

About the Role

We're looking for a highly motivated and detail-oriented individual to support our administrative, bookkeeping, and data entry functions. As a key member of our operations team, you'll be responsible for ensuring the smooth day-to-day running of our business, from bookkeeping and data entry to email communication and ERP system integration. Key Responsibilities

As our Virtual Assistant, Bookkeeper, and Data Entry Coordinator, you'll be responsible for the following key tasks:

  • Validation of customer orders regarding quantities and quotations – entry into the system
  • Entry of purchase orders into the system and submission to suppliers
  • Entry of goods received and supplier invoices into the system
  • Issuance of invoices to customers
  • Preparation of account statements for suppliers and customers
  • Allocation of payments for purchase and sales invoices
  • Maintenance of accurate and up-to-date records and reports
  • Coordination of monthly reporting and reconciliation
  • Integration with ERP system to ensure seamless data flow
  • Communication with suppliers, customers, and internal teams through email, Slack, and ClickUp

Essential Qualifications

To be successful in this role, you'll need:

  • 2+ years of experience in bookkeeping, data entry, or a related field
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines
  • Excellent communication and interpersonal skills, with the ability to work effectively with internal teams and external stakeholders
  • Proficiency in ERP systems, with experience in data entry and system integration
  • Strong attention to detail and accuracy, with a keen eye for numbers and financial data
  • Ability to work independently and as part of a team, with a flexible schedule and willingness to adapt to changing priorities
  • Strong problem-solving skills, with the ability to think critically and creatively
  • Proficiency in Microsoft Office, with experience in Excel, Word, and Outlook

Preferred Qualifications

While not essential, the following qualifications would be highly desirable:

  • Experience in the apparel or e-commerce industry
  • Certification in bookkeeping or accounting (e.g. QuickBooks, Xero)
  • Experience with cloud-based accounting software (e.g. QuickBooks Online, Xero)
  • Familiarity with project management tools (e.g. Asana, Trello)
  • Experience with customer relationship management (CRM) software

Compensation, Perks, and Benefits

We offer a competitive compensation package, including:

  • A salary range of $40,000 - $60,000 per annum, depending on experience
