As a Staff Assistant with arenaflex, you will be an integral part of our Airport Stations Group within the Customer Experience Division. Your responsibilities will include a wide range of administrative tasks, such as:
- Scheduling meetings and coordinating events
- Writing and editing documents
- Managing phone coverage and welcoming clients
- Handling mail and office supplies
- Coordinating travel and accommodation arrangements
- Assisting with financial tasks, including budgeting and expense reports
- Maintaining accurate records and databases
- Providing support for other team members as needed
Key Responsibilities
* Assist with the planning and execution of management presentations and special events as required
- Manage, audit, and screen all local invoices through InvoiceWorks and disperse as necessary
- Investigate and resolve office technology issues, including phone and copier machines
- Track and ensure employees complete onboarding tasks, including system access, storage space allocation, letter drops, regalia, identification, fingerprinting, training, etc.
- Assist with station event planning, coordination, and execution (e.g., team-building activities, lunch meetings, occasion dinners, recognition events)
- Handle financial processing in Workbrain for management and care staff
- Process deprivation letters and arrange local communications and responses
- Oversee employee termination, including approvals and tasks, as required
- Assist with timekeeping capabilities, data entry, data validation, compromises, and recording
- Maintain employee records, as necessary
- Maintain station meeting plans, including monthly crisis response
- Access and manage various intermittent reports, including performance, review, cost, employee engagement, and recognition, etc.
- Update required manualsFiles and maintain all security-related items
- Serve as backup for other financial capabilities
- Oversee records for OSHA, security, etc. (301's, weekly and annual)
- Assist with budget planning and compromise, including monthly reconciliation of landing charges
- Uphold auditing exercises as required
- Track and confirm incentive reserves earned
- Liaise with CRE/Offices and vendors to follow local projects, as necessary
- Lead/coordinate work with other care staff, as necessary
- Perform other duties as required
What you'll need for success
* Bachelor's degree in a related field
- Previous office/administrative experience
- Strong knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook
- Familiarity with procedures, policies, and corporate design
- Ability to focus on work, be meticulous, and comply with time constraints
- Ability to multitask in a high-speed environment and handle multiple tasks
- Self-motivation and ability to work independently
- Ability to understand the functionality and purpose of specific software and systems
- Strong communication and interpersonal skills
