JOB DESCRIPTION Position title: Manager, Employee Services Reports to: Director, People and Culture Shared Services Supervises: 3 Level: 5 Date: May 2026 1 MISSION OF THE DEPARTMENT To build a thriving, future-ready WWF workforce by ensuring that people at all levels have the skills, capabilities, and development pathways needed to deliver the WWF Strategy. Embed WWF’s core values and standards to strengthen the culture and create the right working environment across the Network. Develop and maintain P&C standards, policies, systems, and platforms that attract, develop, and retain the right people for the organisation. Create the conditions for high performance, ensuring that staff can perform at their fullest potential and maximise their contribution to WWF’s conservation goals. 2 MAJOR FUNCTIONS The post holder will have overall oversight, control, and supervision of monthly payroll operations for both Global and Local contracts, ensuring accuracy and timely payments in all countries and developing reports and dashboards as necessary. They will lead the effective management of the P&C helpdesk ticketing system, driving prompt ticket triage, assignment, and resolution to enhance employee experience, CSAT, and employee net promoter score. The post holder will be responsible for the control, supervision, and optimisation of People & Culture administrative processes and procedures, including the maintenance of employment contracts in compliance with local employment regulations. Act as product manager for the core HR and Absence Management HRIS modules, ensuring data accuracy, regular reporting, and continuous improvement and optimisation in collaboration with HRIS and GTDS teams. The post holder will be responsible for providing expert support and guidance to Business Partners and P&C partners in hosting offices on issues pertaining to the complexities of the Secretariat employment model. Additionally, this role will coordinate the management of global relationships with external service providers, overseeing contractual matters, issue resolution, contract renewals, and the monitoring of service quality, while also leading a small team of specialists. 3 MAJOR DUTIES AND RESPONSIBILITIES Payroll Administration, Request Management, Contracts & Onboarding: Supervision and control of end-to-end payroll processes for offices with global and local contracts (full Secretariat population), which includes internal & external providers & employee relationships. Ensures that offices with Local contracts apply the correct contractual changes in their local payroll. Responsible for global and local contract alignment across countries, according to local regulations and in line with our organisational policies Management of the P&C helpdesk request management system, driving prompt ticket assignments, escalations and resolutions that improve overall employee experience. Ensures that all changes related to the employee lifecycle are correctly captured and formalised from an operational point of view. In liaison with onboarding specialist and other relevant stakeholders i.e. external payroll providers, ensure that all new hires have a seamless onboarding experience with contracting, policies and payroll Cross-Functional Collaboration (Internal & External) & Team Management: Supports, develops and advises team members, managing workload and queuing tickets promptly and ensuring that they are motivated, able to deliver and achieve their objectives. Liaises closely with Head C & B to ensure up to date information on global and local benefits. Manage collaboration with external providers (Payroll, insurance, immigration): following up on contracts conditions/renewals, negotiation issues, visas, accurate invoice processing, etc. Focal point for internal P&C communities regarding global coverages, health, pension, new location etc In collaboration with P&C Business Partners, work on employee relations issues, and coordinate with internal and external legal counsel if needed. Provides daily support, guidance to P&C BPs, managers and employees. Data Accuracy & Reporting, Product Ownership, Policies & Continuous Improvement: Responsible for maintaining, optimising and streamlining all Employee Services processes related to Payroll, insurance, P&C Administration and contracting documents. Manage relocation processes effectively, ensuring adherence to policy, practices and procedures. Compliance with data protection and confidentiality whilst ensuring that all staff contracts/changes are processed, reflected in HRIS system and filed confidentially in an efficient and optimised way. Owns product management for core HR and Absence Management modules, conducts regular data accuracy audits, optimises processes, provides training, and recommends improvements as needed. Provides monthly recurrent & specific P&C dashboard reports and analysis to enable decision-making Manage the development, review and update of P&C policies & procedures in line with employment law, legislative changes or organisational requirements, driving communications on changes. Train managers & staff on policy interpretations, compliance, implementation and org risk mitigation. Support P&C continuous improvement projects globally & as assigned by Director Shared Services. Develop standard operating procedures for all relevant P&C processes and ensure adherence to agreed client-level SLAs as part of expectations management 4 PROFILE
Required Qualifications
Degree in HR, Psychology or equivalent (emphasis on payroll management & shared services preferred) Minimum of 7 years’ experience in Human Resources areas with a high understanding of multi-country payroll structures, contracts management and employment law Strong experience in managing complex requests and management of diverse expectations from multiple communication channels at an international organisational level Experience of working in an HR shared services environment and remotely handling distributed staff across various locations globally. Strong experience and knowledge of employment law Assoc CIPD qualified or higher OR other relevant/equivalent HR professional certification (preferred) Required Skills and Competencies Strong ability and agility to think outside the box and through a complex model Capacity to find solutions adapted to multiple different requests and expectations. Experience of working with virtual teams at international level. Experience of developing and implementing process improvement interventions. Service-oriented, empathetic and flexible. Excellent communicator & great team player. Strong experience of data reporting and analytical skills. Absolute discretion & confidentiality. Excellent organisational and administrative skills. Fluency in English and French (an advantage). Interest in conservation and WWF's work. Embraces the WWF mission and values of the organisation: Courage, Integrity, Respect & Collaboration. 5 WORKING RELATIONSHIPS Internal Provides continuous support to the WWF International Secretariat population, and WWF International offices on third-party services matters. Works very closely with Business Partners, P&C teams, Line managers and employees in general. Liaises frequently with Finance, GTDS and Accountability departments when needed. External Interacts with all third-party partners, local legal counsel, Swiss authorities & multi-jurisdictional authorities as needed, insurance companies and very frequently with our global payroll partner and any other providers.
