Job Summary

We are seeking an experienced Probation Aide Data Entry Clerk to join our team in San Benito, TX. As a Probation Aide Data Entry Clerk, you will be responsible for performing a variety of tasks, including data entry, document preparation, and e-filing. You will work closely with our Probation Supervisors and Juvenile Probation Officers to ensure the accuracy and efficiency of our data entry processes, and provide exceptional customer service to our clients.

Key Responsibilities

* Perform data entry tasks, including compiling and sorting information, establishing entry priorities, and verifying the accuracy of data before it is entered and/or e-filed.

  • Prepare source data for computer entry by compiling and sorting information, establishing entry priorities, and verifying the accuracy of data before it is entered and/or e-filed.
  • Track and document all data into JCMS, spreadsheets, and other databases as assigned.
  • Keep statistics as assigned, and review work done by others to check for correct spelling and grammar, ensure that standards and policies are followed, and recommend revisions.
  • Use creative abilities to create visual aids, and power point presentations for training purposes.
  • Ability to interact in a professional manner with juveniles and parents (families).
  • Ability to maintain a professional relationship with other employees, agencies, etc.
  • Must be available for flexible scheduling, including evenings and weekends when needed.
  • Maintain logs of activities and completed work.
  • Maintain and protect resident's rights by keeping information confidential.
  • Organize and file paperwork, documents, and computer-based information.
  • Photocopy and print various documents.
  • Contributes to team effort by accomplishing related results as needed.
  • MUST BE AVAILABLE for all emergencies, including inclement weather, taking children into custody, transporting probation children to placement or emergency release facilities, doctor(s) office(s) as directed by supervisor.

Essential Qualifications

* High School Diploma or Graduate Equivalency Diploma (GED) is required.

  • One year of experience in direct juvenile care, counseling, law enforcement, corrections, or another related field is preferred.
  • Experience as a data entry clerk is required.
  • Keyboard skills are required.
  • Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel, etc.) is required.
  • Working knowledge of office equipment and computer hardware and peripheral devices is required.
  • Basic understanding of databases is required.
  • Ability to work independently is required.
  • Must be over eighteen (18) years of age.
  • Current Texas Driver's License and current automobile insurance are required.
  • Ability to communicate effectively (reading, writing, and understanding) in English; knowledge of Spanish is preferred.
  • Able to submit to a drug urinalysis pre-screening exam and pass a criminal background check.

Preferred Qualifications

* Bachelor's degree in a related field is preferred.

  • Experience working with juvenile populations is preferred.
  • Knowledge of court system policies, practices, and procedures is preferred.
  • Experience with data entry software and databases is preferred.
  • Ability to work in a fast-paced environment with multiple priorities is preferred.

  • Basic computer skills in word processing, spreadsheets, databases, and a variety of software packages are required.
  • Ability to work efficiently both independently and as part of a team is required.
  • Ability to have flexible hours, including evenings and weekends when needed, is required.
  • Reasoning and making judgments and decisions are required.
  • Maintaining resident and program confidentiality is required.
  • Managing time well, performing multiple tasks, and organizing diverse activities are required.
  • Submitting written documentation clearly, accurately, and impartially is required.
  • Performing effectively and courteously in a stressful environment while maintaining a professional manner is required.
  • Establishing and maintaining effective working relationships with departmental clientele, representatives of outside agencies, other county employees, and officials is required.

Work Environment and Physical Demands

* Tobacco-free environment.

  • Absolutely no electronic devices or cell phones allowed in the facility while either on/off shift.
  • Moderate travel with little or no notice (emergency transport) requiring additional hours after scheduled shift and/or overnight stays may be required for transports or training.
  • Subject to contact with communicable diseases, hazardous waste, human fecal manner, and foul odors.
  • Must be able to work in a high noise level environment.
  • At no time, will the review or use of social media be allowed while on duty, and/or on County provided electronic equipment, except in limited situations where such activity is work-related and is authorized by the Chief Juvenile Probation Officer or designee.
  • Physical requirements include the ability to lift/carry up to 50-100 pounds, visual acuity, speech and hearing, hand and eye coordination, and manual dexterity necessary to operate a computer and basic office equipment. Subject to standing, sitting, walking, climbing stairs, bending, stooping, crouching, kneeling, pushing, pulling, reaching, twisting, balancing, repetitive motion, and squatting to perform essential functions.
  • Subject to stressful environment and resident contact for extended periods.

Work Uniforms

* Must adhere to the CCJJD Dress Code Policy.

  • If visible tattoos, sleeves, or cover-ups must be worn.
  • Sets the example regarding personal appearance with regards to hair being neatly trimmed or combed.

Compensation, Perks, and Benefits

* Hourly rate: $10.00.

  • Benefits include health, dental, and vision insurance, as well as paid time off and holidays.
