Key Responsibilities

As a Business Administrator at arenaflex, you will be responsible for providing comprehensive administrative and staffing support to the team, including:

  • Providing seamless support across multiple areas, including office space management, resource allocation, procurement, headcount management, onboarding, and event coordination.
  • Overseeing the procurement of equipment, office supplies, reference materials, and other office necessities to ensure a smooth and efficient work environment.
  • Assisting in planning and managing both small and large-scale meetings, events, and travel logistics to ensure that all team members are well-prepared and supported.
  • Handling cost reporting in compliance with arenaflex's policies to ensure accurate and timely financial reporting.
  • Supporting team-building activities, employee appreciation events, and offsite gatherings to foster a positive and inclusive work culture.
  • Maintaining confidential employee information and group data with integrity to ensure the trust and security of our team members.
  • Supporting new hires with office setups, equipment, and onboarding processes to ensure a smooth transition into the team.
  • Coordinating with the business operations community for various organizational activities and events to ensure seamless communication and collaboration.
  • Taking initiative in handling multiple tasks and projects simultaneously in a global, cross-functional environment to drive results and achieve goals.

Qualifications

To be successful in this role, you will need to possess the following qualifications:

  • Minimum of 2 years of managerial, business support, or customer service experience, preferably in an environment focused on meeting planning, event management, and travel coordination.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and data entry tasks to ensure efficient and accurate administrative support.
  • Strong communication, organizational, and interpersonal skills to build and maintain effective relationships with team members, stakeholders, and customers.
  • Ability to prioritize tasks, manage time effectively, and handle multiple responsibilities in a fast-paced environment to drive results and achieve goals.
  • Proactive, detail-oriented, and able to make decisions within the scope of responsibility to ensure efficient and effective administrative support.
  • Bachelor's degree in Business Administration, Human Resources, Marketing, Communications, Psychology, or related field to provide a solid foundation for administrative support and business operations.

Preferred Qualifications

While not required, the following qualifications would be beneficial for this role:

  • Experience with administrative support in a global team setting to ensure effective communication and collaboration across different regions and cultures.
  • Experience with event planning, travel management, and employee onboarding to provide a comprehensive understanding of business operations and support.
