Clerical Staff
About the Role
The Kenmore-Town of Tonawanda Union Free School District is seeking a detail-oriented and reliable Clerical Staff member to join our administrative team remotely. In this role, you will support daily school operations by managing student records, handling family communications, and providing general administrative assistance to teachers and administrators . You will work from home using district-provided systems to ensure accurate data entry, enrollment processing, and attendance tracking, all while maintaining confidentiality and supporting the district's mission of student success .
Key Responsibilities
Student Records & Enrollment
- Maintain accurate and up-to-date student records, including enrollment, attendance, and academic performance data
- Assist with new student registration and withdrawal processes
- Prepare transcripts, report cards, and other student-related documents as needed
- Compile attendance records for state reporting (Fall/Spring Count)
Administrative Support
- Answer phone calls and respond to email inquiries from parents, students, and staff in a professional and timely manner
- Greet and direct visitors (virtually) to the appropriate personnel
- Handle incoming and outgoing mail and digital correspondence
- Support teachers, staff, and administrators with clerical tasks as needed
Office Operations
- Prepare and distribute notices, memos, and other school communications
- Maintain and update school calendars and schedules
- Manage homework requests and coordinate material distribution with families
- Issue student passes and assist with health room documentation as appropriate
- Maintain confidentiality of all student records and sensitive information
Compliance & Record-Keeping
- Monitor and track program budgets using spreadsheets
- Submit purchase orders and track receipts
- Respond to all written correspondence, phone calls, voicemails, and emails within 24 business hours
- Follow district policies regarding student privacy (FERPA) and data security
Other Duties
- Perform other clerical duties as assigned by administration
- Attend online meetings, take notes, and follow up on action items
Qualifications
Required
- Education: High school diploma or equivalent (GED)
- Experience: 1+ years of clerical or administrative experience (school setting preferred)
- Technical Skills: Proficiency with Google Workspace (Docs, Sheets, Drive) or Microsoft Office Suite (Word, Excel, Outlook); ability to learn student information systems (SIS)
- Communication: Excellent written and verbal English skills for professional correspondence with parents and staff
- Self-Management: Ability to work independently, prioritize tasks, and meet deadlines in a remote environment
- Equipment: Reliable high-speed internet, personal computer with webcam, and a quiet home office
- Background Check: Must pass a background check and fingerprint clearance (per NYSED requirements)
Preferred:
- Associate degree in Business Administration, Education, or related field
- Prior experience in a K-12 school district
- Experience with student information systems (e.g., eSchoolData, Infinite Campus)
- Bilingual (English/Spanish) a plus
Compensation & Benefits Annual Salary
- $35,000 - $62,000 per year, commensurate with experience.
- Market context: This range is based on typical school clerical roles in Western New York and comparable remote education clerk positions .
