Event Planning Specialist
About the position The Event Planning Specialist drives the planning, coordination, and execution of high‑quality internal and external events that elevate AmTrust’s brand, employee engagement, and partner experience. This role oversees end‑to-end event operations, collaborates with cross‑functional teams, and delivers seamless in‑person and virtual programs that reflect AmTrust’s mission, values, and standards. This position will be hybrid out of one of our AmTrust offices.
Responsibilities
- Design, coordinate, and execute internal and external events, including face‑to‑face, hybrid, and virtual programs
- Administer registration systems, event apps, surveys, signage, and on‑site logistics
- Source and secure venues, negotiate contracts, and manage food & beverage, transportation, and production requirements
- Develop and oversee event budgets, ensuring accurate tracking and reconciliation
- Direct vendor relationships, review and negotiate contracts, and manage accounts payable
- Monitor and enforce cost‑control practices and company financial policies
- Partner with internal teams, executives, and external vendors to align event objectives, timelines, and expectations
- Advise stakeholders throughout the event lifecycle to ensure professional, high‑quality attendee experience
- Guide, train, and support the Producer and/or Coordinator for Meetings and Events
- Champion best practices and contribute to continuous improvement efforts across the department
- Stay current with hospitality trends, venues, emerging technologies, and industry best practices
- Introduce and apply innovative ideas to enhance program effectiveness and attendee engagement
Requirements
- 5+ years of experience in event planning, meetings management, or hospitality
- Strong proficiency in Microsoft Excel, Word, and PowerPoint
- Proven ability to manage budgets, coordinate vendors, and orchestrate complex logistics
- Exceptional organizational, problem‑solving, and multi‑tasking abilities
- Professional presence with the ability to communicate and present effectively to senior leaders
- Demonstrated ability to perform calmly and adapt quickly in fast‑paced, high‑pressure environments
Nice-to-haves
- Bachelor’s degree in communications, Hospitality, Marketing, Public Relations, or related field
- Experience with financial planning, budgeting, and marketing support
- Familiarity with event technology platforms, virtual meeting tools, and professional systems (e.g., Cvent, Copilot, SurveyMonkey, Qualtrics, Ironclad, Concur, Oracle)
