CONSULTANT’s NAME: Virginia Yu JOB TITLE: Multimedia Hub Manager TYPE OF CONTRACT: Regular Consultant Level I UNIT/DIVISION: Creative Studio Unit /Communications & Media Division, COM DUTY STATION (City, Country): Working remotely from PPR DURATION: EOD: 08 June 2026 - NTE: 31 December 2026 BACKGROUND AND PURPOSE OF THE ASSIGNMENT: The Multimedia Hub Manager is critical for helping WFP capture, archive and distribute multimedia content and creative assets to both internal and external audiences, in a timely and effective manner. The consultant under the direct supervision of the Senior Story Producer will lead the ongoing management of the WFP global digital asset management (DAM) system, the Multimedia Hub, and will act as the focal point to managing the contract with the software supplier (Orange Logic). ACCOUNTABILITIES/RESPONSIBILITIES: The candidate will perform the following duties: •Lead, plan and manage the design and development of the digital asset management system,the Multimedia Hub, for WFP – developing custom solutions to meet the complex archivingand content distribution needs of HQ teams, country offices and regional bureau; •Oversee all supporting aspects of the system including developing governance structure,keywording, ensuring robust taxonomies, and base meta data standards – and ensuringfreelance suppliers, contract agencies, as well as staff meet these requirements; •Lead on management of contract with software developers (Orange Logic) to create system,and develop processes, while managing the migration of existing photo and video archivesinto the central multimedia repository; •Act as day to day focal point with software developer, implementing development/ upgradesto meet WFP needs, and ensuring vendor meets contractual requirements; •Implement country specific work flows and processes designed to maintain and enhance thespecific content needs of HQ teams/ Country Offices / Regional Bureaus and to supportoverall communication aims of the organization by distributing content in a timely manner; •Build capacity of WFP staff globally on all aspects of uploading, keywording, and distributionof content through multimedia library, providing advice, developing guidance and trainingmodules to ensure consistent, quality communications. Support teams to train freelancephotographers/ film-makers and other external suppliers with upload as needed; •Working with HQ teams, train and support them to prepare packages of curatedcommunications products in the multimedia hub to brief eg media releases with integratedVNRs, creative studio story packages, donor visibility content packages; •Monitor incoming content from teams across the world and establish processes for identifyingthe best content for stakeholder needs – ensure quality, make HQ teams aware of newcontent, and ensure timely release of content to users. Provide updates on the Creativestudio content teams channel on a regular and frequent basis;

  • Line manage video assistant and train in archiving, develop work plans, monitor performance against objectives, and ensure appropriate development to enable high performance;
  • Along with video assistant, act as main point of contact for all admin/ technical issues related to the Multimedia Hub. Liaise with IT colleagues in COM (Communications & Media Division) and in WFP more broadly to ensure multimedia library is fit for purpose and meets WFP requirements related to taxonomy and security;
  • Coordinate and prepare accurate and timely reporting on download, views and active users related to the system and work with other communications teams to develop reporting supportive to their projects to enable informed decision-making, evaluation of objectives and consistency of information presented to stakeholders;
  • Work in close collaboration with HQ/ Regional Bureaus / Country Offices counterparts to ensure quality control of content by aligning activities and ensure a coherent and scheduled approach to uploading, archiving and distribution of content and communications products;
  • Contribute to preparedness actions, establishing upload and distribution processes – particularly for rapid onset emergencies – providing technical recommendations and guidance and monitoring the management of risks. This includes establishing a purchasing process for imagery connected to rapid onset emergencies to meet PPF needs;
  • Be available for ‘out of hours’ on-call emergency work, with the ability to be on call over weekend.

DELIVERABLES AT THE END OF THE CONTRACT:

  • Upgraded the system to latest version (recommended period between versions is 18 months), and ensured training for teams as required following upgrade.
  • Researched and made available (where appropriate) new Orange Logic/Cortex functionality.
  • Trained Multimedia Hub Assistant in further advanced administrative functions of Cortex.
  • Made improvements to the system/workflows in line with review lead by external consultant to better working across COM teams.
  • Trained nominated HQ, RBX & CO focal points and maintain knowledge base with ongoing training & support across all of WFP.
  • Developed bespoke content sections in line with content released throughout term of contract so it reflects the work of WFP successfully.

QUALIFICATIONS & EXPERIENCE REQUIRED: Education: Advanced University degree in Archiving, Journalism, Public Relations, Communications, Photography or other relevant field, or First University degree with additional years of related work experience and/or trainings/courses. Experience: At least five years of relevant professional experience with archiving, cataloguing and managing multimedia assets. DESIRABLE, at least three years of direct experience managing digital assets in the Orange Logic (cortex) system, the software used by WFP. Has designed and managed advocacy and campaign initiatives and provided advice to colleagues; Knowledge& skills:

  • Direct experience managing digital asset management systems (with photo, footage and stories) using Orange Logic software, including the management of user permissions, purposes and asset metadata;
  • Sophisticated understanding and technical knowledge of establishing user permissions, asset permissions, asset metadata, system architecture,

multimedia workflows, keywording, data security, archiving and preservation, and other core skills required to manage a digital asset management system properly; •Strong understanding of UX (user experience) issues and commitment to easingand enhancing the user journey on digital platforms; •Experience establishing tailored systems at geographical levels to meet contentrequirements of country offices/ bureau; •Ability to analyse reporting data and identify download trends to highlight usageof content across the organization; •Ability to work collaboratively as part of a diverse team, and to supportcolleagues to develop workflows that meet their specific needs; •Experience of managing and developing a large-scale digital asset managementsystem for an international organization; •Broad knowledge of ingesting, editing and archiving digital media for filmproduction and photography; •Experience of using film and photo editing software; •Experience of image manipulation in Photoshop; •Ability to write in plain English, and basic copy-editing and proofreading skills; •A high level of computer literacy (eg Word, Excel, databases, desktop publishingskills); •Ability to understand and accept the requirement for sensitivity/ confidentialitywhen handling information, in particular with sensitive data contained onconsent forms. Languages: Fluency in oral and written English mandatory. An intermediate knowledge of another official UN language (Arabic, Chinese, French, Russian and Spanish) or Portuguese (one of WFP’s working languages) is a plus.
