Job Summary

We're seeking a highly organized and detail-oriented Administrative / Data Entry Assistant to support the daily operations of our office. As a key member of our team, you'll be responsible for providing exceptional administrative support, ensuring seamless communication, and maintaining the highest level of organization and productivity. If you're a high-energy individual with excellent organizational skills, a strong attention to detail, and the ability to communicate effectively in both written and verbal communications, we'd love to hear from you.

Responsibilities

As an Administrative / Data Entry Assistant at arenaflex, you'll have the opportunity to work on a variety of tasks, including:

  • Fielding inbound communications: Answer phone calls, respond to general email inquiries, and route communications to the appropriate internal parties as needed.
  • Coordinating scheduling: Set up meetings based on cross-functional availability for both internal and external stakeholders.
  • Organizing internal resources: Build out and maintain processes to keep files and office supplies organized and easily accessible.
  • Liaising with visitors: Act as the point person for office guests, ensuring a warm and welcoming experience.
  • Communicating policies and procedures: Alert employees of new processes, rules, and regulations, ensuring a seamless transition.
  • Facilitating executive-level operations: Book travel, submit expense reports, and send communications for high-level staff as needed.

Requirements

To be successful in this role, you'll need:

  • High school diploma: A minimum of a high school diploma or equivalent is required.
  • 1-2 years experience as an administrative assistant, secretary, or receptionist: Previous experience in an administrative role is preferred, but not required.
  • Strong organizational, communication, and time-management skills: You'll need to be highly organized, able to communicate effectively in both written and verbal communications, and possess excellent time-management skills.
  • Proven ability to work in a fast-paced environment: You'll need to be able to thrive in a dynamic and fast-paced environment.
  • Positive, high-energy attitude: A positive and high-energy attitude is essential for success in this role.
  • Resourcefulness, creativity, and problem-solving skill set: You'll need to be able to think creatively and develop innovative solutions to complex problems.
  • Familiarity with office equipment: You'll need to be familiar with office equipment, including printers, fax machines, and projectors.
  • Proficiency in Microsoft Office: Proficiency in Microsoft Office, especially MS Excel and PowerPoint, is required.
