Position Overview

As a Remote Legal Office Assistant – Client Support & Data Entry, you will play a vital role in supporting arenaflex's attorneys and staff by managing client communications, maintaining accurate case records, and assisting with routine administrative duties. This position offers a consistent schedule with flexibility, including optional weekend hours if needed. Key Responsibilities

Client Support: Serve as a point of contact for clients via phone, email, and chat in a professional and compassionate manner, providing exceptional customer service and ensuring client satisfaction.

  • Data Entry: Perform legal client intake, gather case-related information, and accurately input data into arenaflex's legal management systems, maintaining the highest level of accuracy and confidentiality.
  • Scheduling: Schedule appointments, send follow-up communications, and manage calendar updates, ensuring seamless coordination with attorneys and staff.
  • File Management: Maintain and organize electronic client files, ensuring accuracy and confidentiality, and assist attorneys and legal staff with case file preparation, document requests, and communication tracking.
  • Administrative Support: Respond to routine client inquiries regarding services, scheduling, and case status updates (non-legal advice only), and handle basic administrative tasks such as document formatting, digital filing, and internal communications.

Schedule

• 8–10 hours per day

  • Flexible Part-Time or Full-Time
  • Work permanently from home
  • Weekend availability is optional to help meet weekly hours or client needs

Requirements

• 1+ year of experience in an administrative, data entry, or customer service role (legal experience is a plus but not required)

  • Excellent written and verbal communication skills
  • Strong attention to detail, organization, and time management
  • Ability to work independently and manage remote tasks with minimal supervision
  • Familiarity with Google Workspace, Microsoft Office, or equivalent tools
  • High-speed internet and a quiet, dedicated home office setup

Preferred Skills (Not Required)

• Experience with legal case management platforms (e.g., Clio, PracticePanther, MyCase)

  • Bilingual (English/Spanish) is a plus
  • Prior work in a law firm, legal call center, or professional services environment
