Administrative Assistant

Work from home Full-time role Hiring

The Henry L. Stimson Center is a nonpartisan global security think tank located in Washington, DC, seeking an Administrative Assistant to support the Executive Office. This role involves managing calendars, scheduling meetings, and performing various administrative tasks to ensure the smooth operation of the office.

Responsibilities

  • Maintain calendars, schedule meetings, and coordinate travel for members of the Executive Office
  • Prepare logistical support for internal and external meetings, including scheduling rooms, preparing and distributing prep materials, arranging catering, or taking notes, when needed
  • Assist with preparation and formatting of agendas, correspondence, and reports
  • Support administrative coordination for Board of Directors events
  • Track and submit monthly expense reports
  • Maintain organized electronic and physical files and records; and
  • Perform other administrative duties as may be required

  • Strong verbal and written communication skills
  • Excellent interpersonal skills, including the ability to build and manage relationships with all staff, donors, and others within the Stimson community

  • Maintains discretion
  • Intermediate to advanced skills in Microsoft suite (Outlook, Word, Excel, PowerPoint, etc.), Salesforce, and academic/foreign policy research
  • Prior administrative or office support experience, preferably in a nonprofit environment
