Job Summary

We are seeking a highly organised and efficient Administrative Assistant to support our team in various administrative and office tasks. The ideal candidate will be detail-oriented, proactive, and have excellent communication skills. The position requires the ability to multitask, manage office procedures, and assist in the smooth operation of day-to-day office functions.

Key Responsibilities:

Remote Administrative Support:

Provide general administrative support to remote team members and leadership.

Manage and respond to emails, calendar invitations, and virtual communications in a timely manner.

Coordinate and schedule virtual meetings, ensuring all logistics (e.g., video conferencing links, agendas) are in place.

Help with setting up remote work tools and ensuring the team has access to necessary resources.

  1. Document Management and Collaboration:
    • Organize and maintain digital files and documents in cloud storage systems (e.g., Google Drive, Dropbox, OneDrive).

    • Assist in preparing and proofreading reports, presentations, and meeting materials.

    • Ensure the efficient use of collaboration tools like Slack, Microsoft Teams, or Zoom for communication and task tracking.

  2. Team Coordination and Virtual Office Support

    • Coordinate virtual events, team-building activities, and online meetings, ensuring smooth scheduling and communication.

    • Support team members with their needs related to remote work technology or processes.

    • Maintain an organized, digital workspace, keeping track of important files, documents, and action items.

  3. Financial and Budgetary Assistance (Remote Context)

    • Assist with processing virtual invoices, expenses, and reimbursement requests.

    • Support with online budget tracking and reporting as requested by supervisors or managers.

  4. Data Entry and Reporting

    • Input and manage data using cloud-based platforms, spreadsheets, and databases.
    • Assist with generating and sending digital reports to team members or clients.
    • Ensure data integrity and confidentiality in all remote systems and

    • tools.

  • Skills

    • Proficiency with remote work tools and platforms (e.g., Microsoft Office Suite, Google Workspace, Slack, Zoom, Asana, Trello).

    • Strong written and verbal communication skills for remote communication.

    • Excellent organizational skills and attention to detail.

    • Ability to manage time efficiently and prioritize tasks independently.

    • Problem-solving skills and ability to troubleshoot basic technical issues.

    • Self-motivated with the ability to work effectively without direct supervision.
