[Remote] Part-Time Executive Operations Assistant

Note: The job is a remote job and is open to candidates in USA. Ascertain is building AI agents to automate the administrative work that burdens care teams. They are seeking a highly organized Executive Operations Assistant to support their Executive Team by managing calendars, coordinating meetings, and ensuring smooth follow-through on priorities.

Responsibilities

  • Managing scheduling and calendars for the Executive Team, including coordinating internal and external meetings across time zones, flagging conflicts, and protecting prep time
  • Coordinating meeting logistics such as ordering lunches, booking rooms, and creating guest passes
  • Preparing meetings (both virtual and in-person) by confirming agendas, collecting and distributing pre-reads, and setting up agendas and tasks in ClickUp
  • Capture meeting decisions and action items, track follow-through, and follow up with owners on deadlines
  • Assist with coordination between Marketing and Commercial teams, track deliverables and deadlines, and proactively flag gaps, risks, or missed follow-ups

Skills

  • Available 9am-5pm EST
  • Adaptable and excited to learn
  • Strong calendar management and prioritization skills
  • Excellent written and verbal communication
  • Comfortable working with tools such as Google Calendar, Zoom, and ClickUp
  • Highly organized, detail-oriented, and proactive
  • Ability to handle sensitive information with discretion
  • Team player
  • Experience supporting executives in a scheduling, operations, marketing, or administrative role
