Title: B-CPT-10186 CONSTRUCTION EXECUTIVE ASSISTANT & PROJECT COORDINATOR Independent Contractor – Business Support VA/ Senior-Advanced Level (Remote). Overview 20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia. We are seeking a highly organized, proactive, and responsive Construction Executive Assistant to support a general contractor with daily administrative tasks, estimate coordination, subcontractor bid management, and backend project organization. This role requires strong communication, exceptional organization, and the ability to support both small remodeling projects and large-scale construction jobs with multiple vendors and divisions. Scope of Services Contractors will be required to provide services that align with the following client tasks: 1. Executive Assistant Support

  • Serve as the client’s direct EA; respond quickly via text, phone, and email.
  • Manage the client’s calendar, appointments, and scheduling.
  • Coordinate daily communication and follow-ups with vendors/subcontractors.
  • Prepare and send paperwork, forms, and documents as needed.
  • Maintain inbox organization and ensure timely responses.

2. Estimate & Job Intake Coordination

  • Monitor incoming bid requests via email and text.
  • Schedule on-site estimates and assign the appropriate estimator.
  • Create project folders and maintain organized digital file structures.
  • Upload jobsite photos and ensure all documentation is stored correctly.
  • Assist with collecting estimator photos, notes, and field documentation.

3. Subcontractor Bid & Cost Management

  • Request, receive, and track subcontractor bids.
  • Enter bid details and materials/labor costs into spreadsheets.
  • Calculate hard costs based on subcontractor submissions.
  • Adjust or refine scope-of-work details with guidance from the client.
  • Prepare and send contracts and estimate packets to clients.

4. Large Project Coordination

  • Build structured folder systems and detailed project divisions.
  • Break down projects into trade categories/divisions.
  • Organize RFIs, tasks, and workflow steps for complex jobs.
  • Assist in creating and refining the intake process for large projects.
  • Help maintain tracking systems for multi-step, multi-vendor projects.

5. Administrative, Organizational & Back-End Support

  • Track job progress, deadlines, follow-ups, and required documentation.
  • Maintain organized spreadsheets, checklists, and status trackers.
  • Support backend coordination to ensure smooth project flow.
  • Communicate with vendors/subcontractors (little to no client-facing calls required).
  • Provide general admin support, record-keeping, and updates.

6. Creative & AI-Enhanced Support

  • Create or refine simple documents, visuals, or proposal materials using Canva.
  • Use AI tools (when appropriate) to improve workflows, summaries, or organization.
  • Assist with process documentation and SOP creation.

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing. Skills The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • 3+ years of experience as an Executive Assistant, Construction Admin, or Project Coordinator.
  • Experience in construction, remodeling, or vendor coordination strongly preferred.
  • Basic understanding of QuickBooks Online and Excel is required.
  • Strong organizational and multi-tasking abilities; able to manage many moving parts.
  • Excellent written and spoken English and Spanish required.
  • Responsive and comfortable with real-time communication (text/call).
  • Skilled in Google Workspace (Drive, Sheets, Calendar).
  • Proficient in Canva is a plus.
  • Able to use AI tools to support workflow improvements (preferred).
  • Detail-oriented, proactive, and capable of independent work.
  • Preference for VAs using Apple products, though not required.
  • Candidates should excel at structured communication, proactive support, clear collaboration, organization, and partnership-style workflows.
  • Must be communicative, responsive, and low-ego, with the ability to contribute good ideas.

Work Schedule

  • Contracted Hours per Week: 20-30 Hours
  • Scheduled Working Days: Monday through Friday
  • Daily Working Time: Flexible within 9:00 AM – 5:00 PM PST

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW. Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
