Job Summary

The successful candidate will be responsible for providing administrative support to our team, including managing calendars, coordinating events, and performing data entry tasks. This is a part-time position that requires a high level of organization, attention to detail, and excellent communication skills. The ideal candidate will be able to work independently and as part of a team, prioritizing multiple tasks and meeting deadlines in a fast-paced environment.

Key Responsibilities

  • Manage an extremely active calendar of appointments, ensuring all schedules are correct and updated daily
  • Compose and prepare correspondence, including confidential documents, and arrange complex events and meetings
  • Prioritize conflicting needs, handle matters expeditiously, and follow through on projects to successful completion, often with deadline pressures
  • Perform data entry tasks, including collecting and assembling information for presentations, projects, and strategic planning
  • Communicate and interact effectively and professionally with diverse populations, individually or as a team member
  • Open, sort, and distribute correspondence, including email, faxes, and regular mail
  • Attend meetings and discussions, as required, and keep all pertinent information up to date
  • Coordinate and manage special projects, including working collaboratively with staff to assure projects meet deadlines
  • Ensure staff is prepared for upcoming appointments by gathering materials necessary for each meeting
  • Collect and assemble information for presentations, projects, and strategic planning, and prepare, edit, and draft presentations

Essential Qualifications

  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with clients and marketing staff
  • Detail-oriented with strong proofreading skills
  • Expert-level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability with minimal guidance in a quickly changing environment
  • Emotional maturity and the ability to handle confidential information with discretion
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Basic accounting knowledge and familiarity with Google Spreadsheets, Excel, and Apple Software
  • Self-motivated, with flexibility to multitask and prioritize in a fast-paced environment

Preferred Qualifications

  • Bachelor's degree or four or more years of experience assisting C-Level executives
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
  • Experience with data entry and calendar management software
  • Knowledge of customer service principles and practices
