About the Position

This is a unique opportunity to join our team as a part-time Personal/Executive Assistant, working remotely with one in-person meeting per week. The ideal candidate will be detail-oriented, possess excellent communication skills, and have the ability to manage multiple priorities efficiently. As a Personal/Executive Assistant, you will be responsible for 'running our professional's life,' taking care of tasks that do not involve speaking with tenants or vendors, and allowing them to fully 'turn off' during personal time.

Key Responsibilities

  • Coordinate appointments and meetings for both personal and business matters, ensuring seamless scheduling and organization.
  • Filter and respond to emails, only bringing important items to our professional's attention, and maintaining a high level of discretion and confidentiality.
  • Set up meetings, manage calendars, and organize schedules to ensure our professional's time is optimized.
  • Send gifts and thank-you notes to clients, vendors, and personal contacts, showcasing our professional's appreciation and building strong relationships.
  • Maintain confidentiality and handle sensitive information with discretion across all areas, demonstrating trustworthiness and reliability.
  • Provide general administrative support for both personal life and business activities, ensuring a high level of organization and efficiency.

Essential Qualifications

To succeed in this role, you will need:

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role, with a strong track record of providing administrative support.
  • Strong organizational and multitasking abilities, with the capacity to prioritize tasks effectively and manage multiple priorities.
  • Excellent written and verbal communication skills, with the ability to communicate clearly and professionally.
  • Ability to work independently and prioritize tasks effectively, with a proactive approach to problem-solving and strong decision-making skills.
  • Flexibility and adaptability to juggle a range of different tasks, with a willingness to learn and grow in the role.

Preferred Qualifications

While not essential, the following qualifications are highly desirable:

  • Admin, Assistant, or Event Planner experience, with a strong understanding of administrative procedures and protocols.
  • Experience in project management, with the ability to coordinate multiple tasks and projects simultaneously.
  • Ability to anticipate needs and think ahead, demonstrating a high level of proactivity and initiative.

Technical Requirements

To perform this role effectively, you will need:

  • Proficiency in Gmail, Google Calendar, and Microsoft Mail and Calendar, with the ability to learn new software and systems as required.
  • A strong understanding of administrative software and tools, with the ability to adapt to new technologies and systems.
